Connecting WhatsApp Business to your cloud PBX before replies start costing money
Meta ends free WhatsApp service replies on 1 October 2026. Here is what wiring WhatsApp into a South African phone system actually involves, which platforms do it, and the number rule that catches most businesses out.
How do you connect WhatsApp Business to a cloud PBX in South Africa?
You link a WhatsApp Business Platform number to your phone system so inbound messages route to the same queues and agents as calls. It needs a Meta Business account, a number not already registered on WhatsApp, and a PBX with a WhatsApp channel. From 1 October 2026, every reply is charged per message.
What changes on 1 October 2026?
Meta is ending free service messages. Replies inside the 24-hour customer service window, free since November 2024, become billable per message.
Meta’s own developer documentation states the rule without hedging: “Any non-template message is charged as of October 1, 2026.” Utility messages sent inside the window, free since July 2025, go the same way. The businesses hit hardest are the ones doing WhatsApp support properly, answering a lot of inbound questions. Their bill goes from zero to per-message overnight.

Can you use your existing phone number for WhatsApp Business?
Usually not, and this is the single most common setup failure.
The number you connect to the WhatsApp Business Platform must not already be registered to any WhatsApp account, on a device or otherwise. 3CX’s documentation is explicit: if the number is already set up on WhatsApp, you delete that account first. In practice that leaves three routes.

Decide this before you touch any settings. Reversing it after go-live means another number migration and another verification wait.
How do you connect WhatsApp Business to a cloud PBX?
The sequence is the same across platforms even though the screens differ. Budget a working day for setup and up to a few days for Meta’s business verification.
Automation reduces staff time, not Meta’s invoice. Every automated WhatsApp reply is still a billable message after 1 October.

Support is no longer exotic, but the depth varies, and the newest development changes what “support” means.

The development worth flagging on its own: 3CX now documents WhatsApp SIP calling, which carries inbound WhatsApp voice calls into the PBX over SIP with TLS and SRTP. Incoming only for now, and the setup requires API calls rather than a UI. But it is the first credible bridge between WhatsApp voice and a business phone system, a different proposition from the app-to-app calling we covered in mobile VoIP apps versus WhatsApp calling.
What does this actually cost to run?
Three separate costs, and vendors tend to quote only one of them.
Adding an AI receptionist to answer WhatsApp messages does not escape the per-message charge. It cuts the staff hours, and the platform vendors will tell you that part; the Meta line on the invoice stays.
Our verdict
If WhatsApp is where your customers already are, the integration is worth doing, and the October change is a reason to do it deliberately rather than a reason to wait. What we know: the number rule is absolute, the licence tier is where the real cost hides, and inbound WhatsApp voice into a PBX is real on 3CX but early. What we do not know: the licence tier that carries the channel on every SA provider, because most do not publish it. Ask.
