The single biggest quality upgrade in any softphone deployment is not the app. It is the headset. A laptop’s built-in microphone picks up keyboard noise, fan hum and the rest of the room; even an entry-level wired USB headset removes most of what callers complain about. Budget for one per regular caller from day one.
For users on constrained or expensive data connections, most business softphones can switch to the compressed G.729 codec, which cuts the voice payload to around 8 kbps at a modest cost in audio richness. It is the right trade for a salesperson on LTE in the field, and the wrong one for reception on office fibre.
Choose the softphone for the oldest device in the company, and train for the least confident user. Everyone else will be fine.

The technology transfer takes an afternoon. The habit transfer takes weeks, and it is the habit transfer that decides whether the project succeeds.

Security before scale
A softphone is a door into your phone account on every laptop and smartphone your team carries. Lock it before you copy it fifty times.
The risk profile is the same as any VoIP service: hijacked credentials used to pump premium-rate calls, and interception of unencrypted traffic on hostile networks. The controls are equally standard, and they all belong in the pilot phase rather than after the first incident:
- Unique credentials per extension, never shared, never the provider default.
- Enforced app updates on every platform; an outdated softphone is an unpatched endpoint.
- TLS/SRTP encryption enabled where the provider supports it; availability varies by provider and plan, so ask before you sign.
- Barring and spend alerts on international and premium destinations your business never calls.
