VoIP device setup: the checklist that actually prevents support tickets

Deskphones, DECT cordless handsets and softphones each fail in their own way. Most of those failures trace back to the network, not the phone. Here is the field-tested order of operations for a clean South African rollout.

What is the right order to set up VoIP devices?

Sort the network before you touch a single phone: a voice VLAN, QoS tagging and enough PoE budget. Then register each endpoint to its SIP account, load the right codec, and test for two-way audio and failover before users go live. The phone is rarely the problem; the LAN usually is.

Sort the network before the phones

Dropped calls, one-way audio and endless support tickets almost always come from the LAN, not the handset. Fix the foundation first.

Voice traffic is time-sensitive in a way that email and file transfers are not. A 200ms delay nobody notices on a download turns a call into a stilted, talk-over-each-other mess. That is why the network comes first.

The three things that protect call quality

Voice VLANPut phones on their own VLAN so a colleague’s large download cannot starve a live call of bandwidth.
QoS / DSCP taggingMark voice packets as priority on the switch and router so they jump the queue when the link is busy.
PoE budgetEach deskphone draws power over the data cable (802.3af, roughly 15W). Confirm the switch can power every phone at once, not just one.

Watch out: a switch rated for PoE may still run out of total power budget. A 24-port switch advertised at 802.3af does not always mean 24 phones powered at once. Check the total watts, not just the per-port rating.

Deskphones (IP phones)

The most visible endpoint and the easiest to get right, provided the network groundwork is done.

Most desk handsets are close to plug-and-play once the LAN is ready. The work that trips people up is registration and, for larger rollouts, provisioning.

Power and connectUse a PoE port or the supplied adapter. Daisy-chain a desktop PC through the phone’s pass-through port if desk cabling is tight.
Get an IP addressConfirm the phone pulls a DHCP address on the voice VLAN, not the data VLAN.
Register the SIP accountEnter the SIP server, username and secret from your provider. A registered phone shows a line indicator; an unregistered one shows an error or no dial tone.
Provision in bulk (optional)For more than a handful of phones, auto-provisioning pushes config by MAC address from a server, so you are not keying credentials into each handset by hand.
Update firmwareShip firmware is often months old. Update before deployment to avoid known audio and security bugs.
TestPlace a call out, take a call in, transfer, and check both directions of audio. Confirm the phone re-registers after a power cycle.

DECT cordless phones

DECT gives staff mobility around a site, but coverage planning is the step people skip and regret.

A DECT system pairs handsets to a base station. The base does the SIP registration; the handsets ride on the base. The two things that go wrong are pairing and range.

Connect the baseCable the base station to the network and power. Register its SIP account exactly as you would a deskphone.
Pair the handsetsPut the base into registration mode and subscribe each handset. Each gets its own internal extension.
Walk the coverageWalk the building on a live call. Listen for break-up at the edges. Concrete walls, lift shafts and double-storey layouts cut range fast.
Add repeaters if neededRepeaters or extra base stations extend coverage. Plan handover between cells if staff roam across a large floor.
Bottom line: test DECT range with the building full of people and furniture, not empty. Bodies and stock absorb signal, so an empty-warehouse test flatters the result.

Softphones

No hardware to ship, which makes softphones ideal for remote and hybrid staff, but the audio device and network are now the user’s responsibility.

A softphone is an app on a laptop or mobile that registers to the same SIP account a desk handset would. Setup is quick; the support load shifts to headsets and home networks.

Install and sign inInstall the provider’s app and enter the SIP credentials, or scan a provisioning QR code where the provider supports it.
Choose the right audio devicePick the USB headset explicitly in the app, not the laptop’s built-in mic. This single setting prevents most echo and far-end complaints.
Allow it through the firewallOn a home or guest network, make sure the app can reach the SIP server. Restrictive networks block the signalling or media ports.
Test on the real connectionTest from where the person actually works. A softphone that is flawless on office fibre can struggle on a congested home line.

A VoIP phone that drops calls is almost never a faulty phone. It is a network that was never set up to carry voice.

VoIP hardware is mature and forgiving. The difference between a smooth rollout and a week of tickets is almost entirely the groundwork: a voice VLAN, QoS, enough PoE, and a real test on each endpoint before users touch it. Get that right and deskphones, DECT and softphones all behave.

Frequently asked questions

Do I need a special switch for VoIP deskphones?
You need a switch that supplies Power over Ethernet (802.3af) if you want to power phones over the data cable, and one that supports VLANs and QoS if you want to protect call quality on a shared network. Phones also work on a separate power adapter, but PoE is cleaner for a desk rollout.
Why do I have one-way audio on VoIP calls?
One-way audio is almost always a network issue: the firewall or router is blocking the media (RTP) traffic in one direction, or NAT is mishandling it. Check that your router’s SIP settings and firewall allow the media ports your provider uses, and disable any aggressive SIP ALG if it is interfering.
What is auto-provisioning and do I need it?
Auto-provisioning lets phones download their configuration automatically from a server, keyed to each handset’s MAC address. For a handful of phones you can configure by hand; for dozens or across multiple sites, provisioning saves hours and avoids keying errors.
Can I use a softphone instead of a desk handset?
Yes. A softphone registers to the same SIP account a deskphone would and works well for remote and hybrid staff. The trade-off is that audio quality now depends on the user’s headset and home network rather than a controlled office LAN, so a good USB headset matters.
How do I test a VoIP phone before going live?
Run a short standard test on every endpoint: confirm it registers, place an outbound call, receive an inbound call, transfer a call, check audio is clear in both directions, then power-cycle the phone and confirm it re-registers on its own.
