Multi-Line VoIP Phones
The word “line” means three different things on an IP phone datasheet. Buying the wrong one is how a reception desk ends up short of keys.
What are multi-line VoIP phones?in VoIP and business telephony
1. A multi-line VoIP phone is an IP desk phone with more than one line key, so a user can hold one call, answer a second and move between them. On most business models those keys are programmable, and in practice they are used as much for watching colleagues’ extensions as for parking calls.
2. Three separate numbers get called lines on a datasheet: registered SIP accounts, physical line keys and simultaneous calls. Only the first two are set by the phone. The third is set by your phone system and your trunk capacity.
Lines, accounts and calls are not the same thing
A retailer listing a phone as “12-line” is quoting one of three unrelated specifications, and rarely says which. Sort them out before you compare models.
- SIP accounts
- How many separate registrations the phone can hold against a phone system, or against different systems. A Yealink T31G takes two, a T43U up to twelve, a T46U up to sixteen. Most users need exactly one. Multiple accounts matter when a phone must sit on two platforms at once, or present two different identities.
- Line keys and DSS keys
- Physical buttons with an LED next to them. The T43U has eight physical keys that page out to twenty-one programmable positions across three screens; the T46U has ten paging out to twenty-seven. What goes on a key is your choice: a second call appearance, a speed dial, a park slot, or a colleague’s extension.
- Concurrent calls
- Set by your phone system and the number of channels you buy, not by the handset. A forty-person office that never exceeds six simultaneous calls buys six channels regardless of how many keys are on the desks.
The practical rule: buy SIP accounts for identity, keys for visibility, and channels for capacity. Confusing the three is how a business ends up paying for sixteen accounts it will never register.
BLF is the reason receptionists need keys
A Busy Lamp Field key subscribes to another extension’s state through the phone system and lights to show it. Yealink’s line keys use dual-colour LEDs for exactly this, so a glance tells you whether an extension is free, in a call or ringing. Pressing the key transfers the current call to that person, or picks up their ringing phone.
That is why a reception desk is short of keys long before it is short of accounts. Ten colleagues to monitor plus a few park slots and speed dials fills a T46U’s first page without a single extra call appearance.
When the built-in keys run out, expansion modules take over. A Yealink EXP43 adds twenty physical keys with dual-colour LEDs, paged three deep for sixty positions, and up to three modules attach to a T43U, T46U or T48U for a hundred and eighty additional buttons. Two things to know before you order them: the module range is tied to specific phone models, and running two or three of them needs an external 5V/2A adapter, which quietly cancels the single-cable benefit of PoE at that desk.
How many keys each role actually needs

Agents are the role most often over-specified. The screen they work from is a browser, not the handset, so paying for twenty-seven keys per seat buys nothing.
Two things to check on the quote
Check whether a power supply is included. Many business SKUs ship without one on the assumption you have a PoE switch. If your switch does not do PoE, an adapter per desk is a real cost that never appears on the comparison sheet.
Check the PoE class rather than assuming. Desk phones sit in 802.3af class 2 or class 3 and draw only a few watts, so almost any PoE switch will run them, but a switch shared with access points and cameras can still run out of budget. Sizing that properly is covered under PoE.
